Clinical Correspondence Workflow Services
NovaDoc

We have designed a variety of services under NovaDoc that recognise and meet the unique needs of organisations of all sizes. Whether supporting an individual practice, PCN, Federation or ICB, NovaHS’s considerable experience processing millions of clinical documents has enabled a fine-tuned, standardised approach that ensures consistent, safe processes and the best outcome for the patient.

Ongoing Document Processing

A streamlined approach to free up GP time by reducing the pressure posed by clinical correspondence. NovaHS uses a tried and tested structure to process clinical documents on a daily basis utilising a standardised method that promotes consistency throughout primary care. Fully integrated administrative and clinical support aims to alleviate up to 80% of the clinical correspondence workload for organisations using a standard package and up to 98% on the highest package.

Ourprocess involves: 
- Coding: Coding specific data in accordance with the NovaHS coding protocol,
- Action Filtering: Filtering out actions/safeguarding concerns
- Clinical Triage: NovaHS clinicians triage documents destined for practice GPs.
- Medication Management: NovaHs meds management team sort through meds related tasks.

This comprehensive service aims not only to reduce the administrative load on GPs but also to improve the overall quality of patient care by ensuring that clinical data is accurately recorded and managed, and that all necessary actions are promptly and efficiently addressed.

Backlog Clearance Service

At NovaHS, we are acutely aware of the pressures on GP time, including the challenges posed by annual leave and unplanned absences, which can lead to significant backlogs. Our dedicated workflow backlog service is designed to provide the support needed to bring your practice back up to date. This service offers the same high-quality delivery as our ongoing services, but with the flexibility of a short-term agreement or a set number of documents, tailored specifically to address your backlog requirements efficiently and effectively. Ideal for handling backlogs or offering short-term/ad-hoc assistance, our service ensures your practice remains efficient and responsive to patient needs. 

Clinical Summarisation Support

NovaHS offers an efficient method for the summarisation of patient records including those found within Lloyd George envelopes. This service has been designed in line with the target set by the NHS for digitising patient records with a key aim to improving patient safety.

Code Amendment Support

We understand that coding errors can happen across hundreds or even thousands of records. This could have a huge impact on the Quality and Outcomes Framework (QOF), recall processes, and general day-to-day care of your patients. Therefore, whether because of human error, fluid QOF requirements, or data cleansing, NovaHS is available to support the bulk amendment of codes in line with any changes in expectations.

Long Term Conditions Clinic

A comprehensive clinic providing proactive management of chronic conditions such as hypertension with thorough reviews, medication adjustments, sick day guidelines, lifestyle advice, and follow-up arrangements. Clinicians provide invaluable clinical support when it is most needed.

Triage/Minor Ailments Clinic

NovaHS offers a Remote Triage/On-Call Support service tailored to enhance the daily capacity of practices and ensure the safe triage of patients. This service is focused on fully understanding both the local services available and the specific offerings within the practice itself, aiming to optimally route patients to the most appropriate service available locally. Our experience shows that we are able to address 60-70% of patient needs effectively through phone or video consultations alone. 

Our approach involves a close collaboration with each practice to gain a deep understanding of their internal systems and pathways. This allows us to tailor our services precisely to their needs. NovaHS provides comprehensive training for our clinicians on the practice's specific systems and pathways, as well as training for the practice team on identifying patient contacts that may not be suitable for this remote service. 

The setup for our Remote Triage/On-Call Support service is flexible, catering to the unique needs of each practice. For practices equipped with an onlineconsultation ticketing system, we offer a certain number of triage slots, supplemented by phone calls. 

During each triage slot, a NovaHS clinician evaluates the provided information to determine the most suitable course of action, which may include: 

- A telephone consultation with a NovaHS clinician, leading to an appropriate treatment plan or onward referral.
- A recommendation for a face-to-face appointment with a practice clinician, including a specified timeframe and patient safety netting.
- Referral of the patient to other available local pathways, such as physiotherapy or pharmacy services. 

For practices without an online consultation ticketing system, our service adapts by offering appointments to integrate with the practice's existing on-call system. In this model, NovaHS clinicians conduct phone triage from a list of patients booked by the practice, ensuring each patient receives timely and appropriate care.

Fit Note Clinic

Operating daily, this clinic offers a structured approach with flexible slots to meet practice needs. Standout features include a standardised model handling over 95% of fit note requests independently, emphasising personalised support for a smooth return to work when appropriate.

Bespoke Clinics

Pharmacy Technician Support

Our Pharmacy Technician Service aims to assist GP practices in efficiently managing medication-related queries. The service covers a broad spectrum of tasks including reviewing medication requests, addressing stock shortages with alternative solutions, synchronising medications and medication reconciliation. Any prescriptions facilitated through this process are signed by the respective practice's GP or designated clinician, ensuring oversight and due diligence. NovaHS staff use messaging services for essential communication, ensuring clear and precise dialogue when required.

Medication Reviews

Our medication review service offers both notes reviews and telephone consultations. Our telephone reviews assist you in achieving structured medication review targets. If additional prescribing requirements arise, our team includes prescribing pharmacists who can fulfil them efficiently.

Medicines Optimisation and Targets

Our services are customisable to meet the specific requirements of your organisation. We offer support with drug monitoring recalls, audits, prescribing incentive schemes, and quality improvement projects.
